About Cobscook Retreat Center:
The Cobscook Institute campus serves as a hub for learning, gathering, creativity, and healing near the shores of Cobscook Bay. The retreat center includes Heartwood Lodge (a 53-bed contemporary lodge), a 50-acre campus connecting to a network of trails, and The Commons, a facility with classrooms, meeting & studio spaces, a commercial kitchen, and dining room. The Center hosts individuals and groups from within our community and around the globe. It is an accessible, welcoming, and inspiring venue for immersive programs and retreats. The spaces are shared with Cobscook’s active community center which offers daily classes and creative events.

Position Overview:
The Retreats and Programs Steward will be the lead person responsible for cultivating and managing our Retreat Center administration, including quotes, booking, and billing to support successful delivery of hosted, and immersion programs at Cobscook Institute. A significant portion of this position also serves as a campus host during retreats, programs, events, and day-to-day operations. They will work closely with the Community Steward, Hospitality, and Programming Circles, community members, and partners to best leverage Cobscook’s campus in line with its mission and values and related program and financial priorities. 

Evening, Weekend and On-Call hours are a routine part of the schedule due to the changing nature of hosted programs.

Core Duties

Retreat Center Management

  • Manage intake, quotes, invoicing and accounts receivable for campus retreats and bookings.

  • Support retreats, bookings and community programs by coordinating catering and/or other services.

  • Build and execute a marketing strategy to guarantee visibility of Center and hosted immersive programs

  • Provide content for Communications and Development team to increase visibility of retreat activities and support fundraising efforts

  • Creatively collaborate with potential guests to identify and develop hosted program opportunities

Program Hosting

  • Work closely and transparently with Community Programs Steward to ensure an excellent, trauma informed guest experience.

  • Co-host events, bookings, and programming on campus.

  • Work closely with Hospitality staff to maintain the appearance, cleanliness, comfort, and safety of the campus.

  • Monitor and report guest and visitor satisfaction with a standard evaluation process.

Center Operations

  • Maintain Kitchen storage and shed. Serve as manager for the kitchen facility and coordinator for use of that space.

  • Develop the annual Center (Community Programs and Hosting/Bookings) budget and serve as budget lead/manager for those areas

Minimum Qualifications:

2 years experience in hospitality services

Software and computing skills: Google Suite (word processing, spreadsheets)

Lifting: 50lbs

Preferred Qualifications:

Demonstrated ability to coordinate teams, create and maintain organized systems

Fluency with building and tracking budgets

Customer service experience?

Excellent Attention to Client Experience

Food Service Experience

Compensation and Benefits:

$45,000-$52,000 depending on qualifications and experience, plus allowance for professional development and training
